How hiring managers screen a Data Analyst
Data analyst postings are full of tool names, and recruiters search for them literally. If the job says Power BI and your resume says “dashboards”, you may not appear. SQL is close to universal, so leaving it off is the most common reason a capable analyst gets missed.
The hiring manager reads for who used your work and what they did with it. A dashboard that 40 managers check every week, or an analysis that changed a price or a process, says more than a long list of reports. Data size helps too: rows, customers, or sources joined.
Communication is part of the screen. Bullets that mention who you presented to, or how a finding was acted on, show you can turn numbers into a decision. That is often what separates an analyst who gets an interview from one who only gets a skills test.

How to adapt this sample to a real posting
- Read the posting and mark its must-haves. For a Data Analyst, these are usually a few hard skills (such as data analysis and SQL queries) and one or two tools (such as SQL or Excel).
- Use the job title from the posting in your headline if it honestly describes your work. Recruiters often search by titles like Data Analyst or Business Intelligence Analyst.
- Write a two-line summary naming your area, your years of experience and one result. Keep it specific to this kind of role.
- For each must-have you really have, make sure one bullet shows where you used it and what changed. Leave out anything you could not discuss in an interview.
- Save it as a one-column Word file or text-based PDF, then check your keyword match against the posting before you apply.
More example bullets to adapt
The formula: an action, what you did, and a number. Replace every detail with your own results.
- Built a Power BI sales forecast that cut the gap between forecast and actuals from 15% to 6%.
- Found a tracking bug in Google Analytics that had undercounted signups by 11% for 3 months.
- Wrote dbt models for 20 core metrics so every team used the same definitions.
- Presented a monthly retention review to the leadership team of 8.
Mistakes that get it filtered out
- Listing tools with no example of the decision they supported.
- Writing “analyzed data” without the data size or the outcome.
- Forgetting the stakeholders you reported to.
Interview questions to prepare
- Tell me about an analysis that changed a decision.
- How would you explain a statistically significant result to a non-technical manager?
- Write a query to find the top 3 products by revenue per region.
- What do you do when two data sources disagree?
Prepare each one as a STAR story: how the STAR method works.
Frequently asked questions
What skills should be on a data analyst resume?
SQL, Excel and one visualization tool (Tableau, Power BI or Looker) cover most postings. Add Python or R if you use them, and match the exact tool names in the job you apply to.
How do I write a data analyst resume with no experience?
Use projects with real public data, and describe them like work: the question, the data size, the tools and what you found. Coursework and certificates help, but a finished project helps more.
Should I include a portfolio link?
Yes, if it shows two or three finished analyses with a clear question and answer. Make sure the link is clickable in your PDF.
How do I show impact as an analyst?
Name the decision your work informed and its result: a price change, a process fix, time saved or a metric that moved. If you only supported the decision, say so honestly.
Is Python required for data analyst jobs?
Not always. Many analyst roles need only SQL and a visualization tool, but Python shows up more each year. List it only if you could write a short script in an interview.
